Cancellation & Refunds Policy

At Hidden Horizon Tours, we understand that unforeseen changes may affect our clients’ travel plans. To offer peace of mind, we strive to balance flexibility for our clients with the logistical and financial planning necessary to organize exceptional tours. The cancellation policies below are designed to be clear, fair, and considerate of both the needs of our travelers and the resources invested in each tour.

Provide Transparency: Clearly outline the terms under which cancellations and refunds are available, allowing clients to make informed decisions.
Offer Flexibility: Enable clients to adjust their plans within certain timeframes without incurring undue financial penalties, where possible.
Ensure Fairness: Reflect the costs incurred by us in organizing your trip, including bookings and preparations made in advance that may be non-recoverable.
Minimize Disruptions: Help us efficiently manage resources and maintain high service standards by having clear protocols in place.

Below, you’ll find details about our cancellation options and how they may apply depending on the timing of your request.

Cancellation by the Client

Our cancellation terms vary depending on the timing of your request prior to the tour departure date.

30 Days or More Before Departure:
Cancellations made 30 days or more before the departure date will incur a fee of 15% of the total trip cost.
Within 29–20 Days Prior to Departure:
For cancellations made between 29 and 20 days before the departure date, 30% of the total trip cost will be charged.
Within 19–10 Days Prior to Departure:
Cancellations made between 19 and 10 days prior to departure will incur a fee of 50% of the total trip cost.
Within 10 Days Prior to Departure:
Cancellations made within 10 days of the departure date are non-refundable due to the advanced arrangements and expenses incurred.

Cancellation by Hidden Horizon Tours

In rare cases where Hidden Horizon Tours must cancel a tour due to unforeseen circumstances (e.g., severe weather, natural disasters, health or safety concerns, or other events beyond our control). In such cases, we prioritize the safety and satisfaction of our clients and will make every effort to provide suitable following options:

Alternative Tour Options: If an alternative tour of similar value is available, we may offer it as an option. If the new tour costs less, we’ll refund the difference; if it costs more, you may choose to pay the additional amount.
Full Refund: We will issue a full refund of all payments made for the tour.

Postponement of Tour

At Hidden Horizon Tours, we understand that plans can change. If you need to postpone or alter your tour, please review our policy below:

Requesting a Postponement:
If you need to postpone your tour, please notify us at least 20 days prior to your scheduled departure date. You can contact us via email/call.
No Cancellation Charges:
For postponements requested 20 days or more before your departure date, you will incur no cancellation charges. Your advance payment can be utilized for new travel dates.
New Travel Dates:
After your postponement request, we will help you select new dates. If the new package costs more than your original booking, the additional cost will be applicable..

Changes to Itinerary

If you wish to modify your tour itinerary, such as adding activities or changing accommodations please inform us on priority. We will make every effort to accommodate your requests. Please note that changes may incur additional fees, depending on the nature of the modification. We will inform you of any associated costs before finalizing the changes.

Refunds Policy

All refunds will be reviewed in line with our cancellation policies. Once approved, refunds are typically processed within 30 business days, depending on your payment provider. Certain non-refundable expenses, such as booking fees or third-party costs, may not be eligible for refunds and will be communicated at the time of booking.
